Data Minimization

Data minimization is the practice of limiting collection, use, access, and retention to information that is justified for a defined purpose. It encourages teams to ask whether each field is needed and whether a less identifying or less detailed alternative can serve the task.

Also known as information minimization.

Why it matters in practice

Reducing unnecessary information can lower exposure and simplify governance, but the right scope depends on purpose and legal requirements. Teams should revisit fields and copies as processes change instead of assuming initial collection is permanently necessary. Minimization is a design principle, not merely a shorter retention period.

Example

An intake form removes an optional birth date because the support workflow can resolve the request using an account identifier.
